For over a century, the Hamilton Philharmonic Orchestra has presented orchestral music and education programs with a mission to enrich the wellbeing of the greater Hamilton region. Music Director Gemma New and the professional musicians of the HPO present dynamic orchestral performances ranging from standard classical repertoire to popular music and world premieres by living composers. The Role

The Hamilton Philharmonic Orchestra is looking for a self-starter who is interested in working in a rewarding career in the arts. The Administrative Assistant position supports the general operations of the administrative team. The position will work collaboratively across the marketing, development, education and box office departments as well as the Executive Director.

This is a part-time position (3 days per week). Reporting to the Executive Director and working closely with the Office Administrator, the Administrative Assistant’s key duties include functions such as, but not limited to:

  1. Support all departments with general administrative tasks
  2. Act as lead administrator of the CRM database
  3. Maintain the content and correspondence in the CRM database
  4. Support ED with board meeting materials
  5. Support team onsite at HPO events at the concert hall and in the community
  6. Order supplies and liaise with suppliers

 

Qualifications

  • 2-3 years’ experience working in office administration
  • Excellent interpersonal skills
  • CRM database experience
  • Excellent computer skills (Word, Excel, Outlook)
  • Experience in organizing and managing projects
  • Excellent organizational, administrative and time management skills; ability to meet deadlines and prioritize, with superb attention to detail in a fast-paced environment

Experience in, or knowledge of, non-profit administration preferred

  • Demonstrated ability to thrive in and contribute to an integrated and collaborative team environment and to apply a positive team approach to working with colleagues
  • Adapts to new technology tools efficiently
  • Customer service-oriented, problem-solving attitude
